Unit 1: The system, and who does what

What is Circle Fleet?

Circle Fleet is a system for the delivery company itself. You stay a delivery company: your drivers, your clients, your prices. The system is your “control room”, where you run everything in one place instead of paper, WhatsApp and notebooks.

Who deals with the system?

WhoWhat they doThey use
The company ownerSigns the company up, chooses the subscription, adds the team, sees everythingThe company console, in a browser
The managerRuns drivers, clients, prices and ordersThe company console
The dispatcherTakes the restaurant’s phone order and assigns it to driversThe company console
The accountantFollows cash, client balances, driver pay, reports and paying Circle’s subscriptionThe company console
The driver (agent)Receives the order, delivers it, collects the moneyThe Fleet Agent app on their phone
The client: a restaurant, shop or personAsks for a delivery, follows it and sees its statementThe Circle Fleet app (Android) or the website in a browser

The four places you will work in

  1. The Circle Fleet website (the main site): features, prices, signing your company up, downloading the Android apps, and this guide.
  2. The company console: your team works on it from a computer or phone in a browser. This is where most of your work happens.
  3. The driver app “Fleet Agent”: on each driver’s phone.
  4. The client app “Circle Fleet”: on the restaurant’s phone, or opened from a browser with nothing to install.

An order’s journey from start to end

  1. The restaurant asks for a delivery from its app, or phones you and the dispatcher enters the order in the console.
  2. The order shows on the live orders board as “Waiting for a driver”.
  3. The dispatcher assigns a driver (or the system does it by itself if you turn on automatic dispatch). Its state is “Driver assigned”.
  4. The driver presses “Accept order”, and it becomes “Accepted by driver”. If the driver rejects it, it goes back to “Waiting for a driver” so the dispatcher can give it to another driver.
  5. The driver goes to the restaurant and presses “Picked up”: the state is “On the way”.
  6. The driver delivers to the receiver, collects the money due if any, and presses “Delivered”: the state is “Delivered”.
  7. The amounts go into the restaurant’s and the driver’s accounts and become statements and reports.

All the states of an order: New, Waiting for a driver, Driver assigned, Accepted by driver, On the way, Delivered, Delivery failed, Cancelled.

Three rules that run everything

  • Everyone sees only what is theirs. Amounts and prices show only to those with the permission. The driver does not see the delivery price.
  • Every important change is recorded in the “Change log”: who changed it, when, and what it was before and after.
  • Nothing is lost because of the internet. The driver app keeps what is tapped and sends it when the connection is back, without repeating it.
