How to use this guide
How to read the guide, and what the coloured boxes and names mean.
Unit 1
The system, and who does what
After this unit you will know what Circle Fleet is and is not, who deals with it, and how an order travels from the restaurant’s request to its delivery.
Unit 2
Signing your company up and the first sign-in
After this unit your company will be signed up and your free trial started, and you will know how to sign in to the console, protect your account and recover a forgotten password.
Subscription and payment
Unit 3
Packages and the wallet: choosing the right subscription
After this unit you will understand the difference between a package and the wallet, know what a tier and its minimum are, choose what suits your company, and know when your subscription starts and when it can change.
Unit 4
Paying Circle: invoices, topping up the wallet, and after the trial
After this unit you will know how to pay a package invoice, how to top up the wallet, what happens when the trial ends, and how to follow all your payments.
Your team, drivers and clients
Unit 5
Your team: employees, roles and permissions
After this unit you will add an employee and give them the right role, know what each role sees, and protect amounts and settings from the wrong people.
Unit 6
Drivers: registering, checking in and following them
After this unit you will register a new driver and hand over their account, know how they check in, how to suspend one or reset a password, and how to set the places they may check in from.
Unit 7
Clients: restaurants and shops
After this unit you will add a client (a restaurant or shop) in both ways: yourself, or with an invitation code the client signs up with, approve them, add their branches, and know how they add their own team.
Day-to-day work
Unit 8
Delivery prices
After this unit you will set your company’s delivery price, give a restaurant its own price, use prices by area if you need them, and know which price applies to each order.
Unit 9
Orders: creating, assigning and following
After this unit you will create an order from a phone call, assign it to a driver in three places, follow it on the board and the map, cancel it or take it back, and turn on automatic dispatch.
Money and reports
Unit 10
Cash, accounts and driver pay
After this unit you will understand where the money goes in every delivery, record cash received from a driver, know each restaurant’s balance and record its payments, and work out and pay the drivers’ pay.
Unit 11
Reports, alerts and the change log
After this unit you will pull a report for any range, print it or download it to Excel, set the alerts that warn you of problems before anyone complains, and review who changed what.
The apps
Unit 12
The driver app “Fleet Agent”
This unit is written for the driver to read (or for you to explain to them). After it they can sign in, check in, receive an order, deliver it, collect the money and know their pay.
Unit 13
The client app “Circle Fleet”
This unit is so you know what your client will see and can explain it easily: signing up, asking for a delivery, following it, and the statement.
Help and practice
Unit 14
Security, support and common problems
After this unit you will know how to ask Circle for support, how to let Circle’s support into your account (and stop it), what happens if Circle suspends your account, and how to solve the commonest problems yourself.
Unit 15
Hands-on exercise: a whole working day in an hour
After this exercise you will have applied everything in the guide on a real account: from signing up to closing the day. Do it yourself on your trial account (the free trial does not charge orders).
